How to use Template Editor role to restrict access to Templates

Who can create the template

Users with Administrator role can create templates.

Who can change the template

The following users are able to edit, copy and delete template:

  • Users and groups who are listed as "Template editors"

  • Administrators

Template editor option controls users and groups that can edit template. You can set any number of users or groups to be Template editors. The user who creates a template becomes template editor by default. 

You can set Template editors when creating or editing a template. Choose the tab "Properties" and list any number of groups and/or users to have access to template.

Team Administrators can view and change any template.
But they cannot access process data (process data form) and affect process execution (assign and complete tasks and etc).

Users who are not listed as Template Editors will only see this template on Templates page if they are included in Process Starters. They will not see controls for editing and copying template. 

Who can start new processes using the template

To control who can start new processes using this template you should use a "Process starters" option.

By default, "Process starters" option is set to "All users" so that all team members can start new processes using this template. You can set any number of users or groups to be process starters. 

Setting process starters to HR group, so that only members of HR group could start new processes from this template:

If user has no permissions to start a new process from template, this template will not show up for her when starting a new process from Processes page: 

It is possible that a user has no permissions to start new processes using specific template but has permissions to change that same template. In this case she will not see the template in the "Start new process" popup but will see it in a list on Templates page and will be able to edit it.

This way you can easily control who can use which templates on per-user or groups level.

Who can manage processes started from the template

When you start a new process from template, all users and groups from template's "Process managers" option are copied to a new process' "Process managers" option.

For started processes you can adjust list of process managers using process edit page. When you modify process managers for a specific process, it doesn't affect this option for original template. 

Editing list of process managers for existing process:

In addition, you can use a special value "Process starter" in Process managers field on template.  It indicates that whoever started new process from template is also can manage it. "Process starter" is not given any special rights for the template itself.
