Configuring access to Processes

How to use roles to restrict process permissions. Who can access process data? Which processes users can see?

In Metatask access to processes and tasks is based on user roles and how they participate in a process.

Process permissions for different roles:

(*) On a process view task assignee can see all comments for all her tasks and can see all form fields for all her tasks. Candidate assignee can view all comments in available tasks, and User mentioned in comments also gets access to view all task comments.

Process managers

Most important role for a process is Process Manager. Process managers are assigned on a template level and are the same for all processes started from the same template. Process Managers have full access to process they manage. They can: 

  • View the process in "My processes" and "All processes" list on Processes screen

  • View all process details, data form, comments, history.

  •  Edit and delete already started processes (but not templates)

For existing process you can change a list of process managers using process edit page.

Changing a list of process managers for existing template:

Process starters

Process starter (user who started the process) can:

  • See the process in "My processes" and "All processes" lists on Processes screen.

  • View process' information and history

  • View list of all process tasks, their assignees and status. 

Template editors

  • can change, copy and delete templates

but

  • can't start processes from these templates

  • won't see processes started from these templates

Tasks assignees 

Task assignee is a user assigned to a specific task. 

Assignee of the task within a process can:

  • View the process in "My processes" and "All processes" list on Processes screen

  • See process' information and history, list of process tasks, their assignees and status. 

  • See comments for all their tasks.

  • See all form fields for all their tasks.

Candidate assignees

Candidate assignee is a user who can see task in "Available tasks" list. Candidate assignee can take (assign to self) any task available to her and become an assignee. 

Candidate assignee of the task within a process can:

  • View the task in "Available tasks" list on Task screen

  • See process' information and history, list of process tasks, their assignees and status. 

  • Data of assigned tasks.

  • See comments for all their tasks.


If you are mentioned in one of the process' task comments
but you don't participate in process as process manager, starter or assignee you can:

  • View the task by click on task link in email notification.

  • Access the process via All processes screen

  • See process' information and history, list of process tasks, their assignees and status. 

Administrators  

Team Administrators can see all processes in a team, including comments and history. Administrators can edit and delete any process.
